Frequently Asked Questions

What Is Transcript Ordering?

It is a comprehensive, online tool for the collection, management, and status notification of transcript orders placed via the Internet by your current and former students.

What Benefits Can My Office Realize By Participating In Transcript Ordering?

This fully automated program enhances service to you, your students and your alumni by providing:

  • 24/7 transcript ordering availability
  • Automatic email alerts that keep students and alumni updated on the status of their transcript requests
  • All credit card processing details and transaction fees handled by the Clearinghouse
  • Seamless authentication and connectivity for students who log on via your secure student portal
  • Collection and archival of any required signed consent forms
  • Monthly detailed summary of all your completed transcript orders
  • 100% remittance of the transcript fees collected on your behalf
  • Facility for you to collect current address information on your former students
  • Ability for you to recapture personnel resources previously dedicated to processing transcript orders

How Does It Work?

The Clearinghouse creates an online version of your transcript request form that we host on our Web site. Your college places a link to us on your registrar's web page and/or secure student portal, allowing your students and alumni to submit transcript requests online.

What Does It Cost For Our Institution To Participate?

Nothing! In fact, you actually gain the equivalent of a budget increase through your ability to redistribute personnel resources. Requestors pay a small service fee to help offset operating costs.

We Already Support Online Transcript Requests, Why Should We Add Transcript Ordering?

Transcript Ordering supplements your system by supporting "public" requests that don't require your alumni to remember their college user ID/password (public site users are required to submit a signed consent form). We handle all credit card payment processing and send automatic emails that update the student at every stage of his or her order, eliminating the need for the student to contact your office.

Do You Collect And Reimburse Our Transcript Fees?

Yes. The Clearinghouse remits 100% of the transcript fees collected on your behalf at the end of each month and provides a detailed summary of the order history.

Is The Credit Card Processing Fee Deducted From Our Reimbursement?

No. The Clearinghouse covers the fee.

Do Students Get An Update Of Their Order Status?

Yes. Students receive email notices confirming their orders and notifying them when their transcripts have been sent or, if applicable, when a hold has been placed on their order. The student can also track his or her order on our Web site 24/7.

Does Your Transcript Ordering Service Support SPEEDE And PESC standards?

Yes. We support Electronic Data Interchange (EDI) utilizing transaction sets 146 (request) and 147 (response). We also support XML and work closely with the Postsecondary Electronic Standards Council (PESC) in implementing their communication standards.

Does Your Transcript Ordering System Interface With My Existing System?

More than 150 institutions using a variety of software vendor systems participate in Transcript Ordering. Please contact us if you have questions about your specific software system.

Does Transcript Ordering Comply With FERPA?

Yes. Like all Clearinghouse programs, Transcript Ordering is fully compliant with FERPA.
